Data module

In the Data Module, you can browse and search in various objects: sources, datasets, recordsets, tags and for any record through the entire database. It is also possible to create datasets, recordsets, tags and comments.
The menu of the module is organised as follow: "Sources", "Filter sources", "Datasets", "Recordsets", "Search in database", "Search  in tags", "Search in comments" (soon).

Source operations and tools

Browsing sources

All sources are available in the "data" tab. Browsing sources is organised according to four fields : the citation form of the source (src), author (aut), language group (grp) and language (lng). You can choose the criteria you want to sort and display the sources by using the button on the top left of the Explorer zone : search source.

Sorting by the citation form of the source displays a navigation tree, where each line with a folder signature button represents a natural dataset.

Authors, sources, language groups and languages are organised alphabetically.

Selecting and loading a source

There are two ways to select a source: s

Removing one or more sources

To remove of one or more sources from the Active elements zone, you need to check the box of the sources and use the delete icon. Note that the invert icon invert the selection.

Displaying source information

When hovering over a source in the Explorer zone, the number of records contained in the source appears.

To display more information on the sources, you can select one or more sources by checking them in the Explorer zone, then by using the info icon. Information is displayed in the Available elements zone.

You can also fin the info icon in the toolbar when a the dataset is loaded in the Active elements zone. You can display sources' information by checking the sources box and using the info icon. Information is displayed in the Available elements zone.

Map visualization of sources

You can view one or more languages on a map, by selecting languages in the Explorer zone (by checking the box) and using the map icon or using the same icon in the toolbar when one or more sources are loaded in the Active elements zone.

To view languages in a tree, you can select them in the Explorer zone (by checking the box) and use the tree icon or using the same icon in the toolbar when one or more sources are loaded in the Active elements zone.

As for all objects, it is possible to add a (private or public) comment to a source via the comment icon.

Sharing a private source

To share a private source, you need to select this source in the Active elements zone and use the share icon.

Saving a source as a dataset

To save one or several sources as a dataset, you need to check the source box(es) in the Active elements zone and use the new icon.

Filter sources

It is possible to display only a subset of sources fulfilling specified constraints by clicking on "Filter sources" menu item in the "data" tab, in the Breadcrumb trail. The actual result of this selection will be a cloud of languages with different colours.
The "count records" and "count sources" radio buttons select the way the cloud will be displayed, the colours varying either by number of sources or by number of records.

At the right of the display is a list of the fields on which the constraints may apply.

At the left of the display are two horizontal scroll bars with two checkboxes. The top one allows to specify the filling ratio of the selected field (from 15% to 100%).

For example, you may choose to display only those sources where the CLS (noun class singular) field has a filling ratio of more than 50%.

The bottom scroll bar allows to filter sources according to the number of records they contain.

You can choose one ratio, both, or none. If the "fill ratio" checkbox is not selected, the selected field will serve as a mere filter: only the sources where this field is not empty will be displayed. For example, if you select the STO (tone pattern) field, then only languages where this field is not empty, hence only tone languages, will be displayed.

For example, you can filter sources which contain more than 1500 records with a tone pattern (STO).

Clicking on a language name in the cloud will display information about the relevant sources below.

It is possible to create a dataset from the filtered sources by using the dataset button.

Dataset operations and tools

Creating / saving a dataset

When sources have been selected and loaded in the Active elements zone, you can save them as a dataset via the save icon (in the toolbar). You need to complete the dialog box displayed by naming the dataset and save using the save button.

Creating a dataset from an existing dataset

You can load the dataset in the Active elements zone and save a new dataset using the save icon (possibly after having added and/or removed some sources).

Creating a dataset from a loaded recordset

It is possible to create a dataset from a loaded recordset in the Active elements zone. You just need to click on the d icon in the toolbar. The sources which the records belong to the recordset appear in the Active elements zone. Then, you need to save it as a dataset by using the new icon.

Browsing datasets

To display the list of datasets in the Explorer zone, you need to select "dataset" in the "data" tab, in the Breadcrumb trail.

It is possible to choose to display the "natural datasets", the "public datasets", the "private datasets" or the "shared datasets": capture_dataset. Datasets are organised alphabetically.

Displaying dataset information

To view dataset information, you need to click on the dataset in the Explorer zone. The information of each sources contained in the selected dataset are displayed in the Available elements zone.

Loading a dataset

There are two ways of loading a dataset in the Active elements zone:

Modifying a dataset

When a dataset is loaded in the Active elements zone, you can modify it. You can save modifications by using the edit icon.

Renaming a dataset

To rename a dataset, you need to click on the edit icon in the toolbar. You need to modify the name in the dialog box that appears and you need to save it using the save button.

It is also possible to add, delete or modify a comment attached to the dataset.

Adding sources to a dataset

To add sources to a loaded dataset (in the Active elements zone), you need to click on "sources" in the Breadcrumb trail (in the "data" tab). Then, you need to select the sources in the Explorer zone (by checking the boxes), to load them by using the add icon and save the modification by using the edit icon and validate by using the save button in the dialog box that appears.

Removing sources from a dataset

To remove sources from a loaded dataset in the Active elements zone, you need to check the sources you want to delete and click on the Remove selected sources icon. Then, you need to save the modification by using the edit icon and validate by using the save button in the dialog box that appears.

When a dataset is loaded in the Active elements zone, the color icon allows to change the order or appearance of the sources in a dataset. Sources appear in the Available elements zone and it is possible to modify their order by clicking and dragging them.

It is possible to modify the colour of each source by using the colour panel on the left side of the Available elements zone. You need to click on the colour or to enter the source code of the colour in the box provided for this purpose.

You can save the modification by using the save button.

Deleting a dataset

To delete a dataset, you need to load it in the Active elements zone and click on the delete icon. A dialog box appears where you can confirm the deletion by the confirm button.

Adding a comment to a dataset

As for all objects, it is possible to add a (private or public) comment to a dataset via the comment icon. You need to load the cognate set up to the Active elements zone and select the comment icon (in the toolbar).

The dialog box below appears and you can choose to make a private comment or a public comment.

Sharing a dataset

When a dataset is loaded in the Active elements zone, the share icon allows to share the dataset.

The list of the RefLex users appears in the Available elements zone. Then, you can select the users with whom you want to share the dataset(s) and validate by using the add cheked button. You can also remove users by selecting users and remove them by using the remove button.

It is possible to add users with whom you share other datasets (by using the down icon on the right side and the add icon).

Displaying source information in a dataset

To see information on the sources contained in a dataset, you need to check the dataset box in the Explorer zone and use the help icon. Information is displayed in the Available elements zone.

Map visualization of sources

To visualize on a map the sources contained in a dataset, you need to check the dataset box in the Explorer zone and use the map icon.
The languages are shown by an orange dot on a default base map of Africa (in the window that appears).

To visualize the sources contained in a dataset on a tree, you need to check the dataset box in the Explorer zone and use the tree icon.
The window that appears shows a default tree.

Recordset operations and tools

Creating / saving a recordset

From query results in Available elements zone, you can load records up to the Active elements zone with the add icon (for the records which appear on the page) or the star icon (for all the records yielded). Then, you can save them as a recordset by using the save icon. You can indicate grammatical class and add note.

In order to add records to an existing recordset, you must first load it, then run your query, set the new records as active with the add or star icons and then save the updated recordset with the edit icon.

You need to save the recordset by using the save button.

Browsing recordsets

To display the list of recordsets in the Explorer zone, you need to select "recordset" in the data "tab", in the Breadcrumb trail.

It is possible to display "All the recordsets" or "My recordsets": all. Recordsets are sorted alphabetically.

Displaying records contained in a recordset

To view the content of a recordset, you need to click on the attached info icon. The records contained in the recordset appear in the Available elements zone.

You also can visualize the records contained in several recordset by checking the recordsets and use the info icon on the top of the Explorer zone.

On the bottom of the Explorer zone, you can choose the fields you want to visualize .

Loading a recordset

There are two ways to load recordset up to the Active elements zone:

Modifying a recordset

When a recordset is loaded in the Active elements zone, you can modify it by using the pencil icon (in the toolbar).

Renaming a recordset

To rename a recordset, you need to load a cognate set and to click on the pencil icon in the toolbar. Then, you need to modify the name in the dialog box that appears and you need to save it by using the save button.

Adding records to a recordset

To add records to a recordset, first, you need to load a recordset in the Active elements zone.
Then, you need to search in the database in order to display records in the Available elements zone.
Then, you can choose the records you want to add by using the add icon. You can also use the add icon (for the records which appear on the page) or the star icon (for all the records yielded) to set the records as active.
When records are added in the Active elements zone, you can save the modified recordset by using the pencil icon.

Removing records from a recordset

When a recordset is loaded in the Active elements zone, you can select records you want to delete from the set by checking the box and use the delete icon in the toolbar.
Then, you need to save the modified recordset by using the pencil icon.

Deleting a recordset

To delete a recordset,you need to load it first in the Active elements zone and select the cancel icon (in the toolbar).

The dialog box below appear and you need to confim the deletion.

Adding a comment to a recordset

To add a comment to a recordset, you need to load it up to the Active elements zone and select the comment icon in the "Recordset" part of the toolbar.

The dialog box below appears and you can choose to make a private comment or a public comment.

When a recordset is loaded up to the Active elements zone, it is possible to add comment to the selected  record(s) by using the comment icon in the "Records" part of the toolbar.

Adding a tag to a recordset

To add a tag to a recordset, you need to load a recordset up to the Active elements zone and select the tag icon in the "Recordset" part of the toolbar.

Adding a tag to the selected record(s)

When a recordset is loaded up to the Active elements zone, it is possible to add  a tag to the selected  record(s) by using the tag icon in the "Records" part of the toolbar.

When a recordset is loaded in the Active elements zone, you can view on a map the languages that are represented in the recordset by selecting the map icon.

When a recordset is loaded in the Active elements zone, you can view on a tree the languages that are represented in the recordset by selecting the tree icon.

Creating a dataset

It is possible to create a dataset from a loaded recordset in the Active elements zone. You need to click on the d icon in the toolbar. The sources contained in the recordset appear in the Active elements zone. Then, you need to save it as a dataset by using the new icon.

Using the set tool

When the recordsets are displayed in the Explorer zone, you can select several recordsets and use the set tool by clicking on the set icon. This tool is explained in details in the Advanced uses (See Set tool).

Tags

Displaying tags

When you click on "Tags" in the Breadcrumb trail (in the "data" tab), tags are displayed in the Explorer zone.

You can display all tags or only your tags: tag. They are alphabetically sorted.

Displaying the associated records

Clicking on one tag will display all records that have been associated with it in the Available elements zone.
If the “Combine tag(s)” box is checked, you can click on multiple tags to display the records that have been associated with all of them. You can see below an example of a list of records associated with the tags “appeler” and the tag “siffler”.

Please note that you need to click (again) on “All tag” or “Self tag” to reload the available tags (i.e. to display only the tags associated with the records currently in the Available elements zone).

Searching in all sources

To search in all the sources of the RefLex database, you can select "search in database" in the Breadcrumb trail (in the "data" tab).

In the Explorer zone, you can search in all the database by record, author or language: a.

When sources have been selected in the Active elements zone, the loupe icon allows you to search in the selected sources in the Active elements zone.

Saving a query

When you the results appear in the Available elements zone, you can save the query by using the query icon. The dialog box below appears. You can name the query and save by using the save button.
